POSITION: Bilingual Front Office Manager- Spanish fluency required

LOCATION: Hiring at multiple locations (see openings here)

SALARY: $53,000-$67,000 and is commensurate with experience up to 10 years of aligned experience. We also offer a relocation stipend if you are moving from a location greater than 75 miles from Denver!

STATUS: Full time, benefits eligible, exempt, in-person position (Denver, CO)

KEY ROLES & RESPONSIBILITIES

The Office Manager fulfills the operational functions of the school, and is responsible for managing the non-instructional operations tasks and projects at their school under supervision of the School Director and/or Associate School Director. The successful Office Manager uses their resourcefulness, organizational skills and tenacity to manage the following primary responsibilities, while also supporting the academic team. When an Office Assistant is brought on, or in schools that already have an Office Assistant, the Office Manager is also responsible for managing the Assistant and providing feedback on the bi-annual review cycle.

Essential Functions:

  • Hospitality

    • Primary coverage of the front desk- greeting and assisting all visitors

      • Answer all phone calls and direct callers to the appropriate place

      • Assure visitor sign in policy is followed

      • Courteously handle all general inquiries

  • Student Enrollment Lifecycle

    • Manage and support all aspects of the student enrollment lifecycle, from student recruitment to commencement/graduation

    • Support admin team with student recruitment

    • Lead processing and tracking of School Choice Applications

    • Lead planning of all new student onboarding (Orientation) and returning student data collection (Registration) annually, including updating all student records and collecting Free and Reduced Lunch forms

    • Monitor and track enrollment changes and support school director in managing enrollment to targets

    • Develop and maintain a positive professional relationship with the DPS Schools of Choice Office

    • Manage contents of all student record folders and ensure records transfers occur when necessary

    • Plan and execute commencement and graduation events

    • Manage transcript creation and requests

  • Finance and Cash Management

    • Manage process for tracking and collecting student fees

    • Manage process for tracking and collecting all field trip, athletic and activity fees

    • Log cash intake and make weekly deposits

    • Manage non instructional supply budget line

    • Manage purchasing and procurement of all school and office supplies and instructional materials

    • Assure all purchases are coded correctly in finance system

  • Attendance

    • Manage a timely attendance process and all parent attendance notifications

    • Assure accuracy and timeliness of attendance taking

    • Manage protocol for student absences and tardiness with admin team

  • Interventions (College Prep, Refocus, Mandatory Tutoring)

    • Manage a process for posting and communicating daily after school interventions

    • Assure accurate notification calls are sent out for interventions daily

  • Communications

    • Support a school communications strategy for effectively communicating with families and students as needed

    • Support a visual culture plan by producing and helping procure posters, graphics, pennants and other visual items

    • Manage school website content in collaboration with admin team

    • Support school admin team with internal (staff) communications needs

  • Student Health

    • Manage relationship with school nurse to ensure compliance with all nursing requirements (immunizations, health forms, medication self-carry and administration)

    • Provide student first aid and tend to ill students; communicate with parents as necessary

    • Maintain first aid supplies and emergency preparedness kits

    • Support nurse in maintaining student health records

    • Communicate important student health information to applicable staff members, such as medical alerts or severe allergies

  • Planning and Event Support

    • Create and maintain a comprehensive school calendar

    • Manage a system to reserve and track availability of school spaces

    • Create and present operations training for all school staff

    • Support field trip planning and logistics

    • Support school wide event planning with admin team and teaching staff

  • DPS Services Coordination

    • Coordinate with DPS Foodservice and Transportation Departments to ensure student needs are met

    • Place and track facilities requests to successful completion with DPS Facility Manager; ensure that school facility is clean, safe and well maintained by working in collaboration with Facilities team
